Event Enrollment and Response Configuration

Description, Purpose and Objective

NOTE

The Event Enrollment (or Dynamic Enrollment) view is the module of the proficiency testing program responsible for predefining the methodological configuration (assays, instruments and batches) that a participant will use during an annual evaluation cycle.

Enrollment represents a participant's predefined response template. It allows the user to configure fixed technical variables in advance to avoid having to select them again in each round of results entry. It has three fast charging options:

• Copy enrollment from previous event: Duplicates the configuration of instruments, reagents and methods from the previous annual cycle.
• Copy enrollment from previous response: Duplicates the values ​​reported in the immediately previous evaluation round.
• Manual typing: Allows you to register zero data in the dynamic form fields.

The objective of this view is to streamline the proficiency testing reporting process (PEEC), reducing typing errors by participating organizations and guaranteeing the homogeneity of the data throughout the year.

Context of Use

This module is used at the beginning of each annual cycle or evaluation round by:

• Users of participating organizations: To configure the methodologies and active analyzers at your headquarters before reporting the first control of the year.
• Platform Administrators: To assist organizations by cloning previous configurations before renewals of participation contracts.

Possible Actions

1. Start Enrollment by Participant

1. Enter the module and search in the autocomplete selector for the Participant Number assigned to your organization.
2. Upon selecting the participant, the system will load the dynamically structured form for the active event in the background.

2. Quick Cloning of Settings (History)

If the participant has a history of participation on the platform, the system will enable two accelerated preload buttons at the top:

• Copy enrollment from previous event: Click this button if you maintain the same analyzer equipment and reagent brands from the previous year. The dynamic form fields will be filled immediately.
• Copy enrollment from previous answer: Click to load the methods and instruments used in the immediately previous round within the same year.

3. Fill out the Dynamic Methodology Form

If you choose manual typing or require specific changes:

1. Go through the sections of the form (e.g. Uroanalysis Section, Hematology, Clinical Chemistry).
2. For each analyte or test in the event, define the report configuration:
   • Instrument: Select the analyzer on which you process the sample.
   • Method: Indicate the analytical technique.
   • Lot: Record the corresponding reagent lot number.
3. The system will dynamically validate that the selected method/instrument combination is compatible with the master catalog.

4. Save Enrollment

Once all sections of the dynamic form have valid combinations, the "Save" button in the footer will be enabled. Click on it to store the enrollment template.

Required Technical Permits

Access to the annual event registration settings requires:

• dynamic_enrollment_read: Allows access to the view and selection of the participant.
• dynamic_enrollment_create or dynamic_enrollment_update: Enables the action of copying previous configurations (previous event/response), filling out the form and saving the organization's enrollment.
